What Did They Really Save?

I’ve had several meetings in the last few weeks with former customers who chose to use internal resources to plan their last meeting. Faced with an uncertain economy and memories of recent layoffs, they made the decision to reduce their meeting budgets and ask internal employees to plan their meeting.
So what did they learn that brought them back to Equinox Creative?
Meeting planning is very time consuming. Their employees spent a great deal of time planning the tactical details of their meeting; resulting in stress, burnout and their daily tasks not getting done. The lost opportunity costs were very high.
Their meetings weren’t as effective. The sales meeting didn’t increase sales. The employee meeting didn’t improve morale. Their key messages weren’t communicated effectively. In short, they didn’t get the return on their investment that they had in the past.
They didn’t save any money. Despite their employees best efforts, the costs of their meeting were higher. The cost of rooms, F&B and audio visual were higher because they didn’t know the right way to negotiate with suppliers.
Please understand, I have nothing but respect for internal planners. They work very hard. But lately, many employees have been thrown into planning roles with neither the time nor the experience to do their job effectively ... and everyone pays the price.
The internal/outsource cycle continues to turn. Let’s hope it finds balance again soon.
